What does ETD stand for?

ETD stands for Electronic Thesis and Dissertation.

What is the Thesis and Dissertation Services eCampus community I’ve been added to?

As part of the Office of Graduate and Professional Studies (OGAPS), our priority is to assist you in completing your degree requirements and ETD submission. Thesis and Dissertation Services eCampus community provides online resources for formatting, Thesis and Dissertation Services processes, Turnitin.com, and your final ETD submission. The community also provides an opportunity to post discussion items with your fellow peers.

What is the thesis fee that appears on my account?

Thesis and Dissertation Services will apply a processing fee of $110 for masters or $170 for doctoral students approximately 3-5 business days after the manuscript has been successfully submitted. The processing fee is payable at Student Business Services or online through the Howdy portal.

What is an ORCID iD?

ORCID provides a unique 16-digit scholar identifier to help you get credit for all of your research/professional contributions. When integrated with publisher services and databases on the Internet, it helps online searchers find all of your works of potential interest. It helps publishers, funding agencies, universities, and professional associations distinguish you from others with the same or a similar name.

Writing and Formatting

I'm about to start writing my Thesis/Dissertation. What resources are available to me?

The following resources are available to all graduate students to aid in the development of a high quality final thesis, dissertation or record of study:

  • Thesis and Dissertation Manual - This manual contains information about the processes for review and all format requirements. It also contains samples of the preliminary pages.
  • Document Template Files - Thesis and Dissertation Services maintains two Word processing template files and a LaTeX template file.
  • Template Support - OGAPS provides a graduate assistant who is a dedicated resource for thesis and dissertation template/formatting questions and issues. Assistance is available for the WORD and LaTeX versions of the template. Please contact our graduate assistant at ogaps-latex@tamu.edu for assistance or to set up a phone or in-person appointment.
  • Pre-Submittal Conferences - Thesis and Dissertation Services staff offers frequent group setting pre-submittal conferences, where formatting and requirements for clearance are presented and discussed. These allow for one-on-one attention between an editor and students.
  • Online Pre-Submittal Conferences - This format is available online continuously.
  • Prepare Your Document Online Resources – This webpage located on the OGAPS website provides information relating to additional resources of preparation, including Word and PDF troubleshooting handouts and links to citation management systems.
  • Template Presentations – Thesis and Dissertation Services offers presentation on both Word and LaTex templates including common issues and fixes. Template sessions are posted in the OGAPS Event Calendar.
  • Thesis and Dissertation Pre-Submittal Checklist - Thesis and Dissertation Services has created an interactive checklist designed to address all major areas of ETD formatting.
  • Turnitin.com – This service exists for students to self-check their ETDs for academic integrity. Students may access turnitin.com through the Thesis and Dissertation Services eCampus community. Students are added to this community the semester after their degree plan is filed and approved.

Does Thesis and Dissertation Services have a page number minimum/maximum for the ETD?

No, we’ve received ETDs ranging from 20 pages to over 600 pages. Certain sections within the ETD have maximum restrictions, such as the Abstract, Dedication, and Acknowledgements. See the Thesis and Dissertation Manual for further specifics of each section’s requirements.

What if I have unusual formatting questions or I am unsure about the format I'm using?

Thesis and Dissertation Services always welcomes phone calls, emails, or short walk-in consultations (preferably by appointment). You may also bring your document to a pre-submittal conference.

Thesis and Dissertation

What forms are needed for Thesis and Dissertation Services?

Approval Form: This form is required for all students. 
PLEASE NOTE: This form is different from the Report of Final Exam. Both the approval form and report of final exam are required for final graduation clearance.
The approval form can be found on OGAPS website under “Student Forms and Information, Thesis/Dissertation Forms and Information” and then choose the appropriate degree.
Before we can review a submitted ETD, we need the signed approval form. It is the student’s responsibility to have the form filled out, signed by the entire committee and the head of department. Special appointments are NOT required to sign the approval form.
Each committee member needs to sign for him/herself. The head of the department signature must be original. The approval form will not be accepted with missing signatures or a missing/non-original head of department signature.
Make sure all committee members have check “Approve” or “Disapprove” as they sign the approval form.

Are scanned signatures accepted on the approval form?

Yes, we will accept scans for signatures, EXCEPT for the head of department. The head of department’s signature must be original.

I personally cannot turn in my approval form; can a friend/coworker/chair, etc. bring it in for me?

Yes, we recommend having someone you trust turn in the form if you are not able to do it personally. We DO NOT recommend using campus mail; missing the deadline because the form was not delivered or was lost is not an acceptable reason for a late submission.

I am having trouble obtaining all of the required signatures for my form. What should I do?

In most cases, you should contact your departmental staff advisor for assistance in locating your committee. You may also contact OGAPS/Thesis and Dissertation services for additional guidance on this issue.
Copyright and Availability Form: This form is required for all students.
It can be found on the OGAPS website under “Student Forms and Information, Thesis/Dissertation Forms and Information”.
It needs to be signed by the student and the student’s chair or co-chair.
We will accept this form electronically; it may be emailed or uploaded with the ETD on the submission system, or turned in physically to our office. This form may be submitted after the submission deadline, but is required in order for the student to clear Thesis and Dissertation Services.

If I selected a document only hold that needs to be extended, how do I request that?

It may be extended for another year with an email requesting the hold sent to thesis@tamu.edu.

How do I request removal of a hold on my document?

Please send a request to remove a document hold to: thesis@tamu.edu.

Submission and Clearance

Where do I submit my thesis or dissertation PDF file (ETD) for review?

Thesis and Dissertation Services uses the online Vireo program for ETD submission; follow http://etd.tamu.edu for the submission site.

When may I submit my ETD for rev?

Your ETD may be submitted after you have successfully defended, made all requested changes from the committee, and they have all signed the Approval form.

What is the “submission deadline”?

All students planning on graduating in a certain semester and who are required to complete a thesis or dissertation, need to submit their signed approval form and the PDF file of their ETD by the indicated date found on the Office of Graduate and Professional Studies calendar. This is a strict deadline; students who do not submit their ETDs and approval forms on or before the deadline are not eligible for graduation in that semester.

I missed the submission deadline; can I still submit my ETD?

No, there are no exceptions for late submittal. Students submitting after the submission deadline cannot graduate until the following semester. The submittal site is shut down for a few weeks after the submittal deadline. Students wanting to submit an ETD soon after the submission deadline may contact Thesis and Dissertation Services for information about the next semester’s first day for submittal.

What are my options if I miss the deadline/what is early clearance?

If a student misses the current semester’s submittal deadline, the student has the option of early clearance in the following semester. The student has a small window of opportunity to submit their document (and all required forms) and clear Thesis and Dissertation Services in the following semester. If the student clears Thesis and Dissertation Services by the registration deadline, set by the Office of the Registrar, the student will not have to pay that semester’s registration fee, but the student will be graduating that semester.

How do I qualify for early clearance?

In order to qualify for early clearance, the student must have been registered in the previous semester. Also, the student must have defended in the previous semester. A student is not eligible for early clearance if they plan to defend in the semester of graduation.

When can I submit my document for early clearance? Am I guaranteed?

If a student is serious about avoiding registration, the student needs to turn in his/her Approval form and submit their ETD as soon as the submittal portal opens. This date is listed on the OGAPS calendar. All submissions are worked on a first-come-first-serve basis. Submission to Thesis and Dissertation Services does not guarantee clearance. The student needs to fulfill all submittal requirements. Once all requirements are met before the add/drop deadline, the student is able to avoid the registration fees for the semester.

I’ve submitted my ETD and my signed Approval form, how long will it take for Thesis and Dissertation Services to review my ETD?

The following are approximate turn-around times after the ETD and signed approval form have been received by Thesis and Dissertation Services. All ETDs are time-stamped and reviewed on a first-come first-serve basis, no exceptions.

  • Early in the semester (after the early clearance deadline): 5-10 working days
  • Week of submission deadline: At least 15-20 working days
 

May I make changes after I submit my manuscript to Thesis and Dissertation Services?

No, once you submit your ETD to Thesis and Dissertation Services, no further content changes can be made. The submitted ETD needs to be in its final content form. The version submitted to our office has been approved by the chair and committee. The only changes allowed are those requested by Thesis and Dissertation Services reviewers.

What does it mean to “clear Thesis and Dissertation Services?”

Students are able to clear Thesis and Dissertation Services once all requirements have been completed. Those requirements include:

  • Applying for graduation
  • Registering for the current semester (or previous semester for early clearance)
  • Passing the oral defense
  • Turning in the Approval form
  • Turning in the Copyright and Availability form
  • Completing all necessary corrections requested by Thesis and Dissertation Services
  • Submitting (if necessary) copyright permission for previously published work
  • Submitting (if necessary) permission for figures and tables, or indicate that a Fair Use Analysis was done
  • (Doctoral only) Completing the SED/AAUDE Survey
